Cutting session prep from 30 minutes to under 5
The situation
This coach had twelve active clients and a genuinely full schedule. The prep problem wasn't laziness or disorganization. It was that good preparation, done properly, required opening three or four documents per client, reading back through the last session notes, checking what commitments were made, and mentally reconstructing where things were before picking up the phone. On a day with four sessions back to back, that prep simply didn't happen for all of them.

Good coaching depends on context. Arriving at a session without it is a disservice to the client and to the work.
What we built
Thirty minutes before each session, the coach receives a structured brief: who the client is, where they left off, what they committed to, any updates from a short pre-session check-in the client submitted the day before, and a few suggested opening questions. The whole thing takes under five minutes to read. The coach shows up oriented.
The client check-in is automated too. A brief form goes out 24 hours before each session asking what's on their mind and what they want to cover. Responses feed directly into the brief. No manual collation, no chasing.
The results
The coach's words after the first month: "I show up fully now." Sessions start faster. Nothing's been forgotten. Clients notice the difference without knowing why.
