Thirty interviews a week is thirty scheduling conversations a week

Interview scheduling is one of those tasks that feels small until you do it 30 times a week. Checking client availability, offering time slots to candidates, waiting for responses, handling reschedules, sending confirmations, firing reminders: each step is minor on its own. Collectively, it was consuming several hours of coordinator time every day at this agency.

The manual process also created delays that cost placements. A candidate shortlisted on Monday might not have an interview confirmed until Thursday, simply because of the time it took to find a slot that worked for everyone. In a competitive market, that gap mattered.

No-shows were another problem. Without automated reminders, a meaningful number of candidates and clients missed interviews they had confirmed, requiring reschedules that restarted the entire process.

Self-serve, confirmed, reminded

When a candidate is shortlisted, the automation sends them a scheduling link connected directly to the client's available slots. The candidate picks a time. A confirmation goes to both parties immediately. Calendar invites are created automatically. No coordinator involvement required at any stage.

A reminder sequence fires in the 48 hours before the interview: one the day before, one the morning of. Both parties receive them. No-show rates dropped immediately. If a candidate needs to reschedule, the system handles it without the coordinator stepping in: a new slot selection link fires, the calendar updates, and the confirmation goes out again.

For roles requiring multiple interview stages, the sequence runs independently for each stage once the candidate is progressed.

The results

  • Manual scheduling back-and-forth eliminated entirely for standard interview types
  • Time from shortlist to confirmed interview reduced significantly across all active roles

Coordinators moved their time to candidate relationship management. The scheduling that had been filling their mornings now runs without them.
