Twelve participants, twelve times the logistics

Group programs are appealing because they scale your time. Twelve clients in a cohort instead of twelve separate 1:1 relationships. The reality, at least without a proper system, is that coordinating twelve people is significantly more demanding than it sounds.

Before each session, participants needed reminders. After each session, recordings and resources needed to go out. Between sessions, check-ins needed sending, reflections needed following up, and the occasional participant who had gone quiet needed a personal nudge. The coach was spending more time coordinating the program than delivering it.

When a second cohort ran simultaneously, the logistics doubled. Emails went to the wrong group. Resources arrived late. One participant didn't receive the week three materials until week four and only mentioned it when the coach asked directly.

Set up once. Runs for the duration.

Each cohort is configured once at the start of the program. From there, the automation handles the week-by-week delivery: session reminders 24 hours and one hour before each call, post-session resources sent automatically once the session is marked complete, weekly reflection prompts, and between-session accountability check-ins.

Participants who don't complete a reflection or check-in receive a gentle follow-up. The coach gets a weekly summary showing engagement across the cohort: who is active, who has gone quiet, who might need a personal message.

Running two cohorts simultaneously takes the same effort as one. The automation handles both in parallel. Nothing crosses over between groups.

The results

"I'm coaching again, not project-managing."

  • All cohort communication, reminders, and resource delivery running automatically
  • Two cohorts running simultaneously with no additional coordination overhead
  • Program capacity increased without adding to the coach's workload
